Expeto holds a comprehensive database of your customers, suppliers, parts, and equipment to be maintained. By accessing a common database, everyone in your organisation can work with the latest accurate information. Expeto records changes to important information so you have an audit trail to ensure the integrity of your data.

Expeto allows you to create service contracts where you agree to maintain a customers equipment for a regular fixed payment.
Expeto will help you plan regular servicing and preventative maintenance activities, and will allow you to monitor the costs and profitability of your contracts.

From initial quotation to final despatch of goods, Expeto helps you manage the whole customer order process. A multi-level discount structure allows you to quickly create quotes and sales orders and you can immediately see what parts are in stock or on order.

Excessive stock costs have a serious impact on business cashflow. Expeto helps you to minimise stock by giving you control of the purchasing process and the visibility to purchase the right materials at the right time. Expeto can recommend purchase lines based on predefined stocking levels and demand from current jobs. So you can significantly reduce purchase order entry time, whilst also reducing the potential for input errors.

Expeto keeps accurate records of every stock movement: purchase receipt, sales despatch, issue to job, stock adjustment etc. Companywide, your staff have full visibility of the latest stock quantity, know what's on order and when it's due.

Expeto allows you to have multiple fixed stores and mobile "van stores" and you can replenish vans to a predefined "ideal" van stock list. You can easily transfer stock between stores, make stock adjustments (e.g. remove damaged items) and perform periodic stocktakes.

Where tracability of components is required, Expeto allows you to record batch/serial numbers at each stock movement.

Comprehensive reporting allows you to see detailed history of every stock transaction, and you can perform analysis to identify (for example) slow moving or redundant stock.

Keeping track of the latest versions of your company procedures, drawings, and other important documents can be a real problem for many companies.

Expeto allows you to record details of all your documents, and upload an electronic copy so that everyone in your company is using the latest version. When it comes to modifying documents, expeto controls the entire change management process.

In addition, all documents (purchase order, invoice, despatch note etc) created by Expeto are generated in PDF format, and are automatically saved to allow you to view/print them in future, thus removing the need for printing and filing paper copies.

The appointments diary lies at the heart of Expetos workload planning. You can quickly and easily create appointments for repair/service jobs or other activities such as staff training and record holidays and absence. A visual month planner allows you to select an appropriate engineer based on skillset, location and availability. When creating appointments, Expeto will alert you if the equipment has outstanding work or the customer is on stop.

Expeto allows you to communicate accurate up-to-date information with your field engineers by allowing remote access using a smart phone web browser. Engineers can view their appointments (including last minute changes) and can update job progress and record parts used so that your stock records remain accurate in real time.  Engineers also have access to part details, latest stock and customer records.

For each appointment, Expeto can create a "job"  to record details of the work done and  parts and labour to be invoiced.

A single job can contain multiple activities which can be invoiced as retail work or booked against a contract or warranty (or a combination).

To help maintain accurate stock, Expeto will alert you if the quantity of parts issued from stores is different to the quantity booked to job.

When adding parts to the job, the sales price is automatically calculated  based on the appropriate customer discount.

After approval, the job is ready for invoicing and all job details are retained to build up a full history of maintenance carried out on your customers equipment.

To allow timely invoicing, you can print proforma or final invoices immediately after despatch of goods or job approval.

Invoice details can then be posted to your accounting software (such as Sage Accounts) - see below.

We recognise that most businesses already use financial software such as Sage Line 50 to manage accounting functions (VAT returns etc) and that most users are familiar and comfortable with this software. So we designed expeto to integrate with your existing finance software thus avoiding unnecessary disruption to your business. Expeto can generate a file containing sales invoice transactions that is suitable for import to your finance software's sales ledger.

As you use expeto, a large amount of data will be built up in its database. Expeto allows you to analyse this data to help you answer the fundamental questions facing your business.

KPI graphs give you an immediate visual overview of your key performance whilst an output to Excel facility allows you to perform detiled manipulation and analysis of data, using familiar office tools.
